Summary

The Gainwell Technologies MMIS system will undergo complete scheduled maintenance from Friday, September 25, 2026 at 6:00 p.m. CT (9:00 p.m. CT for pharmacy) through Monday, September 28, 2026 at 6:00 a.m. CT, making all claims submission, eligibility verification, prior authorization, and provider portal access unavailable. The Eligibility system (CARES) will remain operational during this outage.

By September 25, 2026 at 6:00 p.m. CT: Billing team must implement the following contingency measures: (1) Complete all time-sensitive claims submissions and prior authorization requests BEFORE the outage window begins; (2) Pause all MMIS-dependent workflows including eligibility verification, claims processing, and provider portal activities; (3) Notify clinical and front-desk staff that manual eligibility verification methods should be used during the outage (phone, fax verification will be unavailable for MMIS); (4) Document any urgent issues that arise during the outage for resolution after September 28 at 6:00 a.m. CT; (5) Prepare staff to contact EMC Helpdesk at (800) 456-1242 Saturday 9:00 a.m.-5:00 p.m. (with limited access) or Provider Assistance Center at (800) 688-7989 for urgent questions. Coordinate with providers and clinical staff to adjust scheduling and patient communication for the 72+ hour outage period. Consequences of inaction: Claims cannot be submitted or processed, prior authorizations cannot be obtained, and eligibility cannot be verified during the maintenance window, potentially delaying patient care and revenue collection.
