Summary
This policy clarifies the electronic signature (e-sign) process for provider enrollment applications, effective June 9, 2025. Billing and administrative teams must ensure all required signer email addresses are entered accurately, monitor e-signature emails from specific Adobe and BCBS domains, and configure Adobe signatures to use 'Type' rather than 'Image' format to include required date/time stamps. Failure to follow these requirements will result in returned applications and enrollment delays.
Action Required
By December 31, 2025: Provider Relations and Administrative staff must: (1) Train all staff processing provider enrollment applications to verify and enter ALL required signers' email addresses accurately in the application system before submission—ensure only the specific email addresses requested by the application type are entered (e.g., practitioner email in practitioner field only); (2) Configure email filters and inboxes to accept and monitor incoming e-signature emails from echosign@echosign.com (Adobe Acrobat Sign), noreply@salesforce.com, and noreply.mypep@bcbssc.com—do NOT delete or mark as spam; (3) Whitelist the @bcbssc.com domain in practice email systems to ensure delivery of critical enrollment communications; (4) Instruct all signers that when completing Adobe e-signatures, they MUST select 'Type' signature format (NOT 'Image') to ensure date and time stamps are captured—verify signature type on first signature attempt and correct before submission if set to 'Image'; (5) Update provider enrollment workflow documentation and checklists to include these three requirements. Consequences: Applications with missing/incorrect signer emails, ignored e-signature notifications, or Image-format signatures will be returned for correction, delaying provider enrollment processing. Update training materials and Provider Relations Consultant guidance accordingly.
