Summary

Effective immediately, Medicaid providers can no longer obtain payment information (pending or issued cycle payment amounts) via phone or email from the Provider Assistance Center. Payment information must now be accessed through secure methods only: the CMAP Secure Web Portal or the Automated Voice Response (AVR) System, both requiring authentication credentials (AVR ID/PIN or web portal login).

Immediately: Billing team must stop requesting payment/remittance advice information by phone or email. All staff requiring access to cycle payment amounts must: (1) Ensure Master User grants appropriate portal access via CMAP Secure Web Portal (Account > Clerk Maintenance panel) for staff to download Trade Files and view Remittance Advice, OR (2) Set up AVR ID and PIN credentials (see Provider Manual Chapter 10, pages 9-10) for staff to use the Automated Voice Response System. Designate one staff member per account to manage portal access. Document that all authorized users have valid credentials (PINs expire every 60 days and must be renewed). Train billing staff to access RAs directly from CMAP portal (posted Tuesdays after claim cycle unless holiday) or call AVR system (available Monday-Tuesday per cycle schedule). Establish process to save RA PDFs for historical reference, as portal only retains 10 cycles (5 months). Communicate with all providers/clinicians that payment inquiries must use secure portals, not phone calls.
