Summary
HealthKeepers, Inc. corrected a system error that incorrectly directed Virginia Medicaid providers to submit appeals to Wisconsin Medicaid addresses on EOPs issued May 15–June 10, 2026. Providers must now ensure all Medicaid claim appeals and reconsiderations are submitted to the correct state-specific process (Virginia), using HealthKeepers' three appeal methods: oral, online via Availity Essentials, or written mail to Virginia Beach.
Action Required
Immediately: Billing team must verify that all Virginia Medicaid claim appeals and reconsiderations submitted since May 15, 2026 were directed to HealthKeepers' Virginia Beach address (P.O. Box 61599, Virginia Beach, VA 23466-1599), NOT Wisconsin. Any appeals mistakenly sent to Wisconsin Medicaid must be resubmitted to the correct Virginia address. Update all internal appeal instructions, templates, and billing system workflow to reflect correct appeal routing: (1) HealthKeepers reconsiderations/appeals via phone (800-901-0020), Availity Essentials (https://Availity.com), or mail to Virginia Beach; (2) State appeals to DMAS only after exhausting HealthKeepers appeals, via DMAS Appeals portal, mail, email (appeals@dmas.virginia.gov), or fax (804-452-5454). Flag any affected claims from May 15–June 10, 2026 for audit and corrective resubmission to ensure compliance and prevent appeal denials due to incorrect routing.
